1. Scope & who we are

This Privacy Policy explains how FieldEquip, Inc. ("FieldEquip," "we," "us," or "our") collects, uses, shares, and protects personal information.

It applies to personal information we process when you:

  • visit or interact with our website at www.fieldequip.com and related marketing pages;
  • use our mobile applications, including the FieldEquip field service mobile app (the "Mobile Apps");
  • access or use the FieldEquip field service management platform (the "Platform" or "Services");
  • request a demo, request a quote, submit a form, use interactive tools such as our ROI Calculator, or otherwise communicate with us.

FieldEquip is an enterprise business-to-business (B2B) product intended for organizations and their authorized personnel, not for personal or household use.

2. Our role: controller vs. processor

Our responsibilities depend on the type of data:

  • When we act as a controller. For personal information collected through our website, Mobile Apps, marketing activities, and account administration, FieldEquip determines how and why the data is processed. This Privacy Policy governs that processing.
  • When we act as a processor. When our customers use the Platform, they submit and control data about their own business, employees, technicians, jobs, and end customers ("Customer Content"). For Customer Content, FieldEquip acts as a service provider / data processor on behalf of the customer, who is the controller. Our handling of Customer Content is governed by the agreement with that customer, including our Subscription Terms and Data Processing Agreement (DPA), not by this Privacy Policy. If you are an employee or end customer of a FieldEquip customer and have questions about your data in the Platform, please contact that organization directly.

3. Information we collect

3.1 Information you provide to us

  • Contact & business details: name, work email, phone number, company name, job title, and the contents of your inquiry — for example when you request a demo, request a quote, contact us, or download a resource such as a white paper.
  • Account credentials: when an account is created for you to access the Platform or Mobile Apps, we process identifiers and authentication information needed to provision and secure that account.
  • Interactive tool inputs: figures and details you enter into tools such as the ROI Calculator (e.g., number of field technicians, operational inputs), along with the contact details you submit to receive a report.
  • Communications: records of your correspondence with our sales, support, and marketing teams.

3.2 Information we collect automatically

  • Device & technical data: IP address, browser type, operating system, device identifiers, and similar technical information.
  • Usage data: pages viewed, links clicked, referring pages, session duration, and interactions with our website, tools, and Mobile Apps.
  • Cookies & similar technologies: as described in Section 5 and our Cookie Policy.

3.3 Location information (Mobile Apps)

Important: The FieldEquip Mobile App may collect precise and/or approximate location data from a technician's or user's device to support core field service functions — including dispatch, scheduling, route optimization, GPS-stamped field tickets, job check-in/check-out, geofencing, and equipment or asset location tracking.

Location is collected only when the relevant feature is in use and your device permissions allow it. You can control or revoke location permissions at any time through your device settings, though doing so may limit location-dependent features. We do not sell location data, and we do not use it for advertising. See Section 7 for details on app permissions.

3.4 Information from third parties

  • Your employer / the account administrator: if your organization provisions your access to the Platform.
  • Service providers and business tools: such as our analytics, CRM/marketing, and error-monitoring providers.
  • Publicly available or business-data sources used for marketing and lead qualification, where permitted by law.

4. How we use information

We use personal information to:

  • provide, operate, secure, and improve our website, Mobile Apps, and Platform;
  • respond to demo requests, quotes, inquiries, and support tickets;
  • provision, authenticate, and administer user accounts;
  • generate the outputs of interactive tools (e.g., your ROI report);
  • send service communications and, where permitted, relevant marketing communications (you may opt out at any time);
  • analyze usage to understand and improve performance, content, and features;
  • detect, prevent, and address fraud, abuse, security incidents, and technical issues;
  • comply with legal obligations and enforce our terms and agreements.

Legal bases (EEA / UK users)

Where the EU or UK GDPR applies, we rely on the following legal bases: performance of a contract (to provide accounts and Services you request); legitimate interests (to operate, secure, and improve our business and to conduct B2B marketing, balanced against your rights); consent (for certain cookies and electronic marketing, where required — you may withdraw consent at any time); and legal obligation (to comply with applicable laws).

5. Cookies & analytics

We use cookies and similar technologies for essential site functionality, to remember preferences, and to measure and improve performance. We use analytics and monitoring tools such as Google Analytics and error/performance monitoring to understand how our website and Services are used.

Where required by law, non-essential cookies (including analytics) load only after you consent through our cookie banner, and you can change your choices at any time. For details on the specific cookies we use and how to manage them, see our Cookie Policy.

6. How we share information

We do not sell personal information. We share it only as described below:

  • Service providers / sub-processors: vendors that host our infrastructure and perform functions on our behalf — for example cloud hosting, analytics, error monitoring, email delivery, and CRM/marketing automation. These providers are bound by contract to protect personal information and use it only to provide services to us.
  • Within a customer account: Customer Content is accessible to authorized users of the customer organization and is governed by that customer's agreement and our DPA.
  • Legal & safety: when required by law, legal process, or to protect the rights, safety, and security of FieldEquip, our users, or others.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this Privacy Policy.
  • With your direction or consent: when you ask us to share information or otherwise consent.

7. Mobile applications & permissions

Our Mobile Apps may request the following device permissions to deliver field service functionality. Each permission is used only for the purpose described, and you can grant or revoke permissions through your device settings.

Publisher note (remove before publishing): edit this table to match the exact permissions your shipped app requests, and ensure it stays consistent with your Apple App Privacy label and Google Play Data Safety form. Mismatches are a leading cause of app rejection.

The Mobile Apps are made available through the Apple App Store and Google Play. Your download and use of an app may also be subject to the applicable app store's terms and the end user license agreement that governs the licensed application.

8. Data retention

We retain personal information for as long as needed to fulfill the purposes described in this Policy, including to provide the Services, maintain your account, comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods vary by data type and context — for example, account data is retained for as long as your account is active and for a reasonable period afterward, and marketing-contact data is retained until you opt out or it is no longer needed. When personal information is no longer required, we delete or anonymize it. For Customer Content, retention and deletion follow the terms of the applicable customer agreement and DPA.

9. Data security

FieldEquip maintains administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, or alteration. FieldEquip maintains SOC 2 Type 2 certification, and we encrypt data in transit using industry-standard methods. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

10. International data transfers

We are based in Houston, Texas, United States, and may process and store personal information in the United States and other countries that may have data protection laws different from those in your jurisdiction. Where we transfer personal information internationally and the law requires it, we put appropriate safeguards in place — such as the European Commission's Standard Contractual Clauses (and the UK Addendum where applicable) — to protect your information.

11. Your privacy rights

EEA / UK residents

Subject to applicable law, you may have the right to access, correct, delete, or restrict processing of your personal information; to object to processing; to data portability; and to withdraw consent. You also have the right to lodge a complaint with your local supervisory authority.

California residents (CCPA/CPRA) and other U.S. state laws

Subject to applicable law, you may have the right to know what personal information we collect, use, and disclose; to request access to or deletion of your personal information; to correct inaccurate information; and to opt out of certain sharing. We do not sell personal information and do not "share" it for cross-context behavioral advertising as those terms are defined under California law. We will not discriminate against you for exercising your rights.

How to exercise your rights

To make a request, contact us using the details in Section 16. We will verify your request as required by law and respond within the applicable timeframe. If your request concerns data held within a customer's Platform account (Customer Content), we will refer you to, or coordinate with, the relevant customer (the controller).

12. Account & data deletion

You may request deletion of your account and associated personal information at any time by emailing legal@fieldequip.com or by using any in-app or in-Platform account deletion option provided. When we delete an account at your request, we delete or anonymize the associated personal information, except where we are required or permitted to retain certain data for legitimate purposes such as security, fraud prevention, legal compliance, or to complete a transaction — in which case we retain only what is necessary and for no longer than required. Where you access the Platform through an employer's account, account deletion may need to be initiated or authorized by that organization.

13. Children's privacy

Our website, Mobile Apps, and Platform are intended for businesses and their authorized adult personnel. They are not directed to children, and we do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us personal information, please contact us and we will take appropriate steps to delete it.

14. Third-party links

Our website and Services may link to third-party websites or services that we do not control. This Privacy Policy does not apply to those third parties, and we encourage you to review their privacy policies.

15. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of our website, Mobile Apps, or Services after an update means you accept the revised Policy.
